Lesson 5 of 6
Finance integration
10 min
For finance, the billing document is the source of revenue and receivables. Dan, Contoso's finance process owner, does not care that an invoice was saved; he cares that the right amounts went to the right accounts with the right attributes. This lesson explains what billing posts and how SAP decides where.
What a billing journal entry contains
| Line | Where the account comes from | Contoso example |
|---|---|---|
| Customer receivable | The customer's reconciliation account in its company code data | Trade receivables, company code 1710 |
| Revenue | Revenue account determination for the price condition's account key | Domestic revenue, alternators: $12,000 credit |
| Sales deductions | Account determination for the discount's account key | Customer discounts: $600 debit |
| Freight revenue | Account determination for the freight condition's account key | Freight revenue: $100 credit |
| Output tax | Tax determination and the tax code's account | Sales tax payable: $690 credit (illustrative) |

Revenue account determination, at concept level
Revenue account determination uses the condition technique you met in pricing. Each pricing line carries an account key, for example standard ERL for revenue, ERS for sales deductions and ERF for freight revenue. At billing, SAP looks up the G/L account from a combination of fields, typically the chart of accounts, sales organization, the customer's account assignment group, the product's account assignment group and the account key. Consultants maintain this in configuration (in SAP GUI, VKOA).
- Pricing lineBase price PPR0 with account key ERL
- Key fieldsChart of accounts, sales organization 1710, customer account assignment group (domestic), product account assignment group (finished goods)
- Access sequenceMost specific combination first, then more general ones
- G/L accountRevenue account for domestic finished goods
- Journal entry lineCredit $12,000 with profit center and margin analysis attributes
Because it is a lookup, revenue account determination can fail. If no account is found, the billing document saves but is not posted to accounting; the accounting status shows an error. Those documents can be released to accounting later, in SAP GUI with VFX3, once the configuration or master data is fixed. A billing document without a journal entry is a finding, not a pass.
Tax follows a parallel path. A tax condition in the pricing procedure calculates the amount using a tax code determined from the tax classifications of the customer and the product and the jurisdiction of the ship-to; the tax code then points to the tax account. In the US, many companies connect an external tax calculation service instead of maintaining rates in SAP. Either way, Contoso's tax team, not the sales team, should provide the expected tax for each test scenario.
Attributes that matter
In SAP S/4HANA, the billing journal entry lines carry more than the account: profit center, segment, and margin analysis attributes such as customer, product, sales organization and industry. Revenue reporting and profitability analysis depend on them. The profit center usually comes from the product's plant data via the order item, so a wrong profit center on revenue often traces back to product master data, not to billing.
Checking it
- Display the billing document (
VF03or Manage Billing Documents) and open the accounting documents. - Open the journal entry in Manage Journal Entries; use the T-account view for a quick check of debits and credits.
- Compare each line with the expected account, amount, tax and profit center.
- Check the customer line in the customer's account: the open item exists with the right due date from the payment terms.
What would you do?
Dan reviews a Contoso test invoice. Revenue posted to the right account, but under profit center "dummy" instead of the alternators profit center. What is the most likely cause?
- Billing posts receivable, revenue, deductions, freight and tax in one journal entry.
- Revenue accounts come from account keys and account assignment groups (VKOA).
- If account determination fails, the billing is saved but not posted; release it with VFX3 after the fix.
- Check profit center, segment and margin attributes, not just accounts and amounts.

1. What does the account key on a pricing line do in billing?
2. A billing document was saved but has no journal entry because no revenue account was found. How is it released after the fix?
3. Where does the customer receivable account come from?
4. Where does the profit center on revenue lines usually originate?
