Lesson 4 of 6
Cancelling billing documents
9 min
Invoices go wrong: wrong price, wrong quantity, billed too early, billed to the wrong payer. SAP does not let you delete a billing document that has posted to accounting, and it should not. You cancel it. Cancellation creates a new document that reverses the original, in both sales and accounting, and keeps the audit trail intact.
Why cancel, not delete
- The invoice has a number the customer may already have received; numbering must stay gap-free and traceable.
- It posted a journal entry; finance needs a reversing entry, not a vanished one.
- Tax reporting may already include it.
- The document flow must show what happened, so a later reader understands the history.
How cancellation works
In SAP GUI, use VF11: enter the billing document and save. In Fiori, the Manage Billing Documents app offers a cancel action. SAP creates a cancellation billing document of the type configured for the original, for example S1 for an F2 invoice and S2 for a credit memo, and posts a journal entry with the opposite signs. The source documents become billable again: the delivery's billing status returns to "not yet billed", so it reappears on the billing due list.

- CancelVF11 or Manage Billing Documents → cancellation document S1
- Reversal postedJournal entry reverses receivable, revenue and tax

- Fix the causeCorrect the condition record or the order data
- Re-billNew invoice created; document flow shows original, cancellation and new invoice

| Revenue | Credit $12,000.00 | Debit $12,000.00 |

What to watch for
| Situation | What happens | What to do |
|---|---|---|
| Invoice still open in finance | Original and cancellation items can be cleared against each other | Check that both items end up cleared in the customer account |
| Invoice already paid | The cancellation creates a credit on the customer account | Finance decides whether to refund or apply it to the corrected invoice |
| Invoice included in an invoice list | The list must be handled first | Follow your project's procedure for invoice lists before cancelling |
| Cancellation of a whole collective run | Possible from the collective run log, with authorization | Use only for a run that was wrong as a whole |
| Wrong quantity delivered, not just billed | Cancelling the invoice does not change the delivery | Cancel billing, then reverse goods issue and correct the delivery |
Cancellation in practice.
Whole collective runs can be cancelled from the log of the collective run when an entire run was wrong, for example because it ran with the wrong selection date. Because this reverses many invoices at once, it should be restricted to a few users and treated as an incident with its own evidence: the run number, the list of cancelled documents and the reversing journal entries. Most of the time, cancelling only the affected invoices is the safer choice.
Cancellation has its own date. By default the cancellation posts with the original billing date if that period is open; otherwise a different date must be entered. Finance usually wants corrections posted in the current open period. Check the project's rule and test it at period end, when the original period is closed.
What would you do?
Contoso invoiced Great Lakes Fleet Services $12,190 for 50 alternators, but the agreed discount was 7%, not 5%. The customer has not paid. What is the cleanest correction?
- Billing documents are cancelled, never deleted, so the audit trail stays complete.
- Cancel with VF11 or Manage Billing Documents; standard S1 cancels F2, S2 cancels a credit memo.
- Cancellation reverses the journal entry and puts the source back on the billing due list.
- Use cancellation for a wrong invoice and a credit memo for a later concession.
