Clearing GR/IR differences

9 min

"Clearing" GR/IR means two different things, and confusing them causes most period-end mistakes. Automatic clearing takes PO items whose receipts and invoices already net to zero and marks those open items as cleared. It posts no value; it only tidies the open item list. Account maintenance deals with PO items that will never net to zero on their own, and it posts a value to remove the difference. The first is routine housekeeping; the second is a financial adjustment that needs a reason and an approval.

Automatic clearing of balanced items

Once a PO item's receipt and invoice match, their open items still sit on the account until a clearing run matches them. The run groups GR/IR items by purchasing document and item and clears every group that balances to zero. Contoso schedules it after each close, either with transaction F.13 or as an automatic clearing job in the Schedule General Ledger Jobs app (F1927). Always run it in test mode first and read the proposal. If the job selects nothing, SAP's knowledge base points to two common causes: the GR/IR account is not managed on an open item basis, or the account uses extended open item management, which needs its own GR/IR clearing job template. Selections that are too broad can also prevent zero-balance groups from forming.

Account maintenance with MR11

For a PO item that will never balance by itself, transaction MR11 (Maintain GR/IR Clearing Account) or the Clear GR/IR Clearing Account app posts the difference away. SAP's rule comes first: before maintaining the account, establish that no further goods receipts or invoices are expected for the PO item. Selection options include supplier, purchasing organization and group, plant, purchasing document and item, the last movement before a key date, delivery surplus or invoice surplus, and quantity or value variance limits. You can run it as automatic clearance (also as a background job) or prepare a list, review the items, and select which ones to clear.

What does the posting look like? The account maintenance document debits GR/IR for a credit surplus (or credits it for a debit surplus). The offset follows the same logic as a price difference: for a standard-price material such as CMC-RTR-200 it typically goes to a price difference account; for a moving-average-price material it can go to stock if enough stock is still on hand; for an account-assigned item it goes to the account assignment, such as the cost center. Confirm the exact accounts with your automatic account determination before the first test.

If an invoice or receipt turns up after all, use MR11SHOW (Display/Cancel Account Maintenance Document) to cancel the maintenance document, and then post the late document normally. That is why the "no more documents expected" check matters: every cancellation adds noise.

Regrouping and valuation for the balance sheet

Clearing deals with individual items; the balance sheet needs presentation. At a reporting date, GR/IR holds both credit items (goods received, not invoiced) and debit items (invoiced, not received). Many companies regroup them into separate adjustment accounts so that the liability and the asset are shown gross rather than netted. In classic SAP ERP this was transaction F.19, which analyzed GR/IR per PO item at a key date and posted adjustment entries that are reversed afterwards. Foreign currency open items may also be valuated in the foreign currency valuation program (FAGL_FCV). Which program or job template your SAP S/4HANA release uses for GR/IR regrouping varies, so confirm it in your closing task list and in the Schedule General Ledger Jobs templates before you design tests around it.

What would you do?

Two days before year end, a GL accountant proposes running MR11 in automatic mode for all GR/IR items older than 60 days to "clean up the balance sheet". Total value: $312,000. What should Dan decide?

Key points
  • Automatic clearing (F.13 or a scheduled job) clears balanced items without posting value.
  • Account maintenance (MR11 or Clear GR/IR Clearing Account) posts away differences only when no further documents are expected.
  • Fix wrong receipts and invoices at the source before writing anything off.
  • Cancel late surprises with MR11SHOW; present credit and debit items on the balance sheet via regrouping as your release supports.

  1. 1. What does automatic clearing (F.13) do with GR/IR items?

  2. 2. What must be true before running MR11 for a PO item?

  3. 3. An invoice arrives after MR11 cleared its PO item. What do you use to undo the maintenance?

  4. 4. Where does the MR11 offset usually go for a standard-price stock material?
