GR/IR mechanics: how balances arise

9 min

Every stock purchase in SAP S/4HANA crosses finance twice: once when the goods arrive and once when the supplier's invoice arrives. The two events rarely happen on the same day, so SAP needs somewhere to park the value in between. That place is the GR/IR clearing account (goods received / invoice received). It is a temporary balance sheet account, and in a healthy process every purchase order item passes through it and leaves it at zero.

This course follows Contoso Motor Co.'s rotors. Purchase order 4500000123 orders 500 CMC-RTR-200 rotors from Lakeside Components for plant 1710 Detroit at $42 each. The rotor's standard price in Detroit is $40. Dan, the finance process owner, cares about one question at month end: is every dollar left on GR/IR explainable, and is it shown correctly on the balance sheet?

  1. Purchase orderNo journal entry. The PO sets the expected price ($42) and quantity (500)
  2. Goods receipt (101)Inventory $20,000 debit, price difference $1,000 debit, GR/IR $21,000 credit
  3. Supplier invoiceGR/IR $21,000 debit, Lakeside Components (payable) $21,000 credit
  4. Net effect on GR/IRCredit $21,000 and debit $21,000 for the same PO item: balance zero
  5. Automatic clearingThe two open items are matched by PO item and cleared; the item leaves the open list

Why the account exists

The goods receipt proves that Contoso owes money for goods it now holds, but the exact amount owed is only known when the invoice arrives. Posting directly to the supplier at receipt would create a payable before an invoice exists. So the receipt credits GR/IR instead, and the invoice moves the amount from GR/IR to the supplier. The account determination key behind this is WRX (GR/IR clearing) in the automatic account determination for inventory postings. Most companies use one GR/IR account per chart of accounts, sometimes with separate accounts for stock and consumption purchases.

Because each posting carries the purchasing document and item, GR/IR line items can be grouped by PO item. That grouping is what makes the account reconcilable: you do not analyze "the GR/IR balance", you analyze the open items of each PO item. GR/IR accounts are therefore managed on an open item basis, so that matched items can be cleared and only the unmatched ones remain open.

Timing creates balances

If a receipt and its invoice post in the same period, the period-end balance for that PO item is zero. If they straddle a period end, the item is open at the reporting date. That is not an error; it is exactly what the account is for. The sign tells you which event is missing.

Where lasting balances come from

Timing balances disappear in the next period. The balances that worry finance are the ones that stay. SAP Learning's payables content lists typical causes: a missing invoice or goods receipt, amounts that do not match, an outdated PO price, and delivery costs posted to the wrong clearing account. In practice the list at Contoso looks like this:

  • Quantity differences: the warehouse received 500 but Lakeside invoiced 480, or the other way round, and nobody followed up.
  • Missing documents: a receipt that was never posted for goods that were used, or an invoice that is stuck or never came.
  • Price and value differences: an invoice posted at a price that does not match how the receipt was valued, for example after a PO price change between receipt and invoice.
  • Delivery costs: planned freight posts to a separate freight clearing account (for example via key FR1) and only clears when the freight invoice matches.
  • Reversals and cancellations: an invoice cancelled and never re-entered, or a receipt reversed after the invoice was posted.

Purchase orders with account assignment (for example to a cost center) behave the same way when the goods receipt is valuated: the receipt debits the cost center and credits GR/IR. If the PO item has a non-valuated goods receipt, the receipt posts no value and the invoice posts the expense directly, so nothing waits on GR/IR. The GR-based invoice verification indicator on the PO item makes the invoice match individual receipts, which keeps partial deliveries and partial invoices easier to reconcile.

What would you do?

On 30 September Dan sees a $21,000 credit on GR/IR for PO 4500000123. The rotors were received on 29 September and Lakeside's invoice arrived on 3 October. What should he conclude?

Key points
  • GR/IR bridges the goods receipt and the invoice: the receipt credits it, the invoice debits it.
  • Balances are analyzed per PO item, which is why GR/IR is an open item account.
  • Credit means received but not invoiced; debit means invoiced but not received.
  • Timing balances are expected; lasting balances come from quantity, value, delivery cost and missing-document problems.

  1. 1. Which posting credits the GR/IR clearing account for a stock PO?

  2. 2. At period end a PO item shows a debit balance on GR/IR. What does that usually mean?

  3. 3. Why is GR/IR managed on an open item basis?

  4. 4. Lakeside invoiced 480 rotors at $42 against a receipt of 500. What remains on GR/IR for the PO item?
