Lesson 4 of 5
Common errors
7 min
Document splitting errors show up in two ways. Either a posting is rejected, usually with a message that a balancing field such as segment or profit center is not filled in a line item, or a posting goes through with the wrong result, such as a default profit center or a split that does not follow the expense. The first kind is noisy and gets fixed quickly. The second kind is quiet and ends up in the segment balance sheet.
| Symptom | Typical cause | Where to look |
|---|---|---|
| Posting rejected: balancing field not filled | No base line to split from, characteristic not derived, inheritance cannot find a unique value | Lines in the document; derivation of profit center |
| Postings land on the dummy or default profit center | Default account assignment hides a missing derivation | Report on the default value; source documents |
| Payable split differently from the expenses | Document type assigned to the wrong business transaction variant | Document type classification |
| Tax line not split | Tax item category missing from the rule | Splitting rule for the business transaction |
| Payment split not matching invoice | Partial or residual payments, or a clearing of items with different splits | Clearing documents; passive split |
| Manual postings on zero-balance account | Account not protected | G/L account settings |
Typical splitting errors and where to look.
Missing characteristics
The most common root cause is upstream: the profit center was never derived. A cost center without a profit center, a material without a profit center in the plant view, a G/L posting with no account assignment at all. Splitting cannot split by a value that does not exist in the document. Fix master data first; changing splitting rules to make the message go away is the wrong cure.
Postings to default values
If Contoso's design uses a default profit center such as "CMC-DUMMY," then every gap silently ends up there. A balance sheet with a growing dummy profit center is a sign that derivations are missing. Keep a standing report of postings on the default value, and treat each one as a defect with an owner until the cause is fixed.
- Does every expense or revenue line carry the characteristic? No → fix derivation or master data · Yes → next question
- Is the document type assigned to the right business transaction variant? No → correct the classification · Yes → next question
- Is the failing item category covered by the splitting rule?No → add it to the rule (design change) · Yes → next question
- Is there a unique value to inherit? No → the line needs its own assignment · Yes → check inheritance is active
Reading a split journal entry
To diagnose anything, you need to read the split. Open the journal entry with the Manage Journal Entries app, or in SAP GUI with the document display transaction, and switch from the entry view to the general ledger view for the ledger you want. In Fiori, the T-account view (Display Journal Entries - In T-Account View) is a helpful way to see per-profit center balances in one picture. Read it in this order:
- Entry viewNote the lines the user entered and their amounts
- G/L viewCount lines: splitting and zero-balancing add more
- Group by characteristicSum debits and credits per segment and profit center
- Check balanceEach characteristic should net to zero
- Check proportionsSplit lines follow the base lines in the same ratio
Corrections need care. A wrongly split document cannot be "re-split" in place. The usual fix is to reverse the document and post it again after the cause is corrected, or, if the document is already cleared, to post a transfer between profit centers that moves the balance to the right place. Either way, the correction itself is a document that splitting processes, so test the correction path as well as the original posting. Agree with Dan in advance who may post correcting transfers between segments, because these postings change segment results directly.
What would you do?
Maria reports that customer invoices for Great Lakes Fleet Services post fine, but the segment balance sheet shows all their receivables on the default profit center. What is the best first step?
- Errors are either rejected postings or silent wrong results; the silent ones are more dangerous.
- Most root causes are upstream: profit center not derived from master data.
- Monitor postings on the default value and treat each as a defect.
- Read a split entry by comparing entry view and G/L view, then summing per characteristic.

1. A posting is rejected because the profit center is not filled in a line item. What is the most likely root cause?
2. Why is a growing balance on the default profit center a warning sign?
