Lesson 3 of 5

Zero-balancing

7 min

Splitting the payable in proportion to the expense lines usually balances each segment. But not always. Some documents move value between segments with no natural line to split, and then the document balances overall but not per segment. Zero-balancing handles this: for each characteristic flagged as "zero balance," the system adds clearing lines so that every segment (or profit center) nets to zero within the document.

A transfer between segments

Contoso reclassifies USD 1,000 of inventory from the Fleet profit center to the Aftermarket profit center on the same G/L account. The user enters two lines: debit inventory Aftermarket 1,000, credit inventory Fleet 1,000. The document balances to zero in total. But per profit center, Aftermarket is +1,000 and Fleet −1,000. With zero-balancing active, the system adds two lines on the zero-balance clearing account: credit 1,000 for Aftermarket and debit 1,000 for Fleet.

General ledger view of the transfer, with zero-balancing lines.

The clearing lines exist only in the general ledger view. The entry view still shows two lines. Over all documents, the zero-balance clearing account nets to zero for the company code, but per profit center it carries the internal payables and receivables between profit centers, which is exactly what a profit center balance sheet needs.

Settings that control it

  • Zero balance flag per splitting characteristic: segment and profit center usually yes.
  • Mandatory flag per characteristic: the posting fails if the characteristic is still empty after splitting, inheritance and default.
  • Partner characteristic: for profit center or segment, a partner field records the other side of the internal relationship, so later eliminations know who the counterparty was.
  • Zero-balance clearing account: defined in Customizing for zero-balancing, usually a dedicated balance sheet account that users cannot post to manually.
Mandatory, no zero balanceRare: value needed but balance per value not required
Mandatory and zero balanceTypical for segment and profit center when full balance sheets are required
NeitherCharacteristic is split where possible, used for analysis only
Zero balance, not mandatoryBalanced where filled, but blanks allowed: risky for statements

Reading the clearing account

The zero-balance clearing account is a useful health check. For the company code it should be zero at all times. If it is not, something posted to it outside of document splitting, usually a manual posting. Per profit center it should match the internal positions you expect, for example Fleet owes Aftermarket for transferred stock. A large, unexplained balance on one profit center is often the first sign of a splitting rule that uses the wrong base.

Zero-balancing also matters for documents that no rule would ever split, such as a goods issue from the Detroit plant's Fleet stock to an Aftermarket cost center, or a customer payment applied to invoices from two segments. In each case the document is balanced in total but not per segment, and only the clearing lines make the segment ledgers whole. When you design test cases, look for exactly these cross-segment documents: they are where zero-balancing earns its keep, and where a missing partner characteristic later makes eliminations harder. Ask the controlling team which internal flows between profit centers they expect, and make sure each one appears in at least one test.

What would you do?

Contoso's trial balance for company code 1710 shows the zero-balance clearing account with a USD 3,200 debit in total. What is the most likely cause?

Key points
  • Zero-balancing adds clearing lines so each characteristic nets to zero within a document.
  • The clearing lines post to the zero-balance clearing account and appear only in the G/L view.
  • Zero balance and mandatory flags are set per characteristic; partner characteristics record the counterpart.
  • The zero-balance clearing account must total zero per company code; per profit center it shows internal positions.
