Lesson 1 of 6
Supplier line items
6 min
Accounts payable is the part of finance that records what the company owes its suppliers and pays them on time. In SAP S/4HANA every supplier is a business partner with the supplier role, and every invoice, credit memo and payment for that supplier is stored as a line item on the supplier's account. Before you post or pay anything, you need to be able to read those line items, because every question a supplier, an auditor or a tester asks ends up there.
The supplier account is a subledger. Each supplier line item has a matching line on a G/L reconciliation account, typically trade payables, entered in the supplier's company code data. You never post to the reconciliation account directly: you post to the supplier, and SAP S/4HANA updates the reconciliation account in the same Universal Journal entry. That is why the payables balance in the balance sheet always equals the sum of the supplier accounts.
Open, cleared and noted items
Supplier accounts are always managed on an open item basis. An invoice stays open until something clears it, usually the outgoing payment, sometimes a credit memo. Clearing links the items with a clearing document and a clearing date, so you can always trace which payment settled which invoice. A third category, noted items, are memo entries such as down payment requests: they do not change any balance, but the payment program can pick them up and pay them.
| Item status | What it means | Changes the balance? | Typical example at Contoso |
|---|---|---|---|
| Open | Posted and not yet settled | Yes | Lakeside Components invoice for 8,000 USD, due in 30 days |
| Cleared | Settled and linked to a clearing document with a clearing date | Already did when posted; clearing nets it to zero | The same invoice after the Friday payment run |
| Noted | Memo item that only records an intention | No | A down payment request for tooling before delivery |
| Parked (not a line item yet) | Saved document waiting for completion or approval | No | An invoice waiting for Dan's approval |
Reading the supplier account
The Fiori app Manage Supplier Line Items is the everyday tool. You select company code 1710 and the supplier, choose whether to see open items at a key date, cleared items or all items, and the list shows document number, posting date, due date, amount, payment block, clearing document and more. You can add columns such as the payment terms, net due date and cash discount amount, save the layout as a view, and drill into any journal entry. In Private Edition and on-premise the classic transaction FBL1N gives a similar list, and Display Supplier Balances (classic FK10N) shows period balances with drill-down to items.
Two filters cause most confusion. The key date for open items answers "what was open on this date", so an invoice paid yesterday can still appear as open at last month's key date. And special G/L transactions, such as down payments, are shown separately from normal items unless you include them. When a supplier says "your balance is wrong", check both before you raise a defect.
| Question | How to answer it in Manage Supplier Line Items |
|---|---|
| What do we owe Lakeside today? | Open items, key date today, include special G/L items |
| Which invoices did last Friday's payment clear? | Cleared items, filter by clearing date; group by clearing document |
| What will fall due next week? | Open items, add the net due date column and filter on it |
| Why was an invoice not paid? | Open item; check the payment block, payment method and due date columns |
Common questions and the matching selection.
What would you do?
Lakeside Components calls to say an invoice for 8,000 USD paid on the 12th still shows as unpaid on the statement Contoso sent them. In Manage Supplier Line Items the invoice appears as open. What should the AP clerk check first?
- Supplier accounts are a subledger; the reconciliation account in the G/L is updated automatically.
- Items are open, cleared (with a clearing document and date) or noted (memo only).
- Manage Supplier Line Items is the daily tool; FBL1N and FK10N are classic equivalents in Private Edition.
- Check the key date and special G/L items before calling a balance wrong.
