Lesson 2 of 5
List reports and object pages
7 min
The list report is the workhorse of SAP Fiori. Most "Manage ..." apps follow this pattern: a filter bar at the top, a table of results below, and a click on any row to open the record on an object page. If you can use one list report well, you can use hundreds.
Anatomy of a list report
Filtering well
Start with the filters you pinned down in your question: scope, status and date. At Contoso, Maria opens Manage Sales Orders, enters sold-to party Great Lakes Fleet Services and sales organization 1710, and looks for orders with an overall status that is not completed. Many filter fields accept multiple values and ranges; the value help (the small icon in the field) lets you search for the right code instead of guessing.
If the filter you need is not on the bar, choose Adapt Filters. It lists every field the app can filter by, and you can add the ones you use. Removing filters you never use makes the screen easier to read.
Tables: columns, sorting, grouping
Use the table settings icon to add or remove columns, sort and group. Grouping by customer or by status turns a long list into a structured one. Some list reports also let you show totals for amount columns. These table settings, together with the filters, are what you save in a variant.
Variants: save it once, use it daily
A variant stores your filter values and table layout under a name. Instead of setting six filters every morning, Maria saves "GLFS open orders 1710" and picks it from the variant selector. Variants can be marked as your default, set to apply automatically (so results load as soon as the app opens), and, where your role allows, shared as public so colleagues can use the same view.
| Variant option | What it does | When to use it |
|---|---|---|
| Save As (new name) | Saves the current filters and table settings | Any view you will use more than once |
| Set as Default | Opens the app with this variant | Your main daily view |
| Apply Automatically | Runs the selection on open, without pressing Go | Small, fast selections only |
| Public | Makes the variant visible to other users | Team-wide views agreed with the key user |
| Dynamic dates (where offered) | Stores "today" or "this month" instead of a fixed date | Daily and monthly reports that must roll forward |
In SAP GUI, the same idea exists in two parts: a selection variant stores the selection screen values (Goto, Variants, Save as Variant), and an ALV layout stores the column arrangement of the result list. Saving both gives you a repeatable report.
Object pages
Click a row and the object page opens. The header shows the key facts (customer, net value, status); sections below show items, partners, pricing, related documents and notes. Use the anchor bar to jump between sections. From an object page you can often navigate to related objects, such as from the sales order to its delivery or to the customer, which is how you move from a list to the evidence behind it.
What would you do?
Maria's saved variant "Overdue items 1710" in Manage Customer Line Items showed 42 items last month but shows zero today, although she knows Great Lakes Fleet Services is overdue. What is the most likely cause?
- List reports have a filter bar, a table and navigation to object pages.
- Use Adapt Filters to add fields; always check the result count against your expectation.
- Variants save filters and table layout; set defaults, apply automatically and share publicly where appropriate.
- Use dynamic dates in variants for rolling reports.
- In SAP GUI, combine a selection variant with an ALV layout.
