Asking the right question

8 min

Most reporting problems start before anyone opens an app. "Get me the sales numbers" can mean a dozen different things: orders received, orders shipped, invoices issued, revenue posted, for this month or this year, for one sales area or all of them. Before you pick a report, pin the question down. The more precise the question, the easier it is to find the app that answers it, and the easier it is for someone else to check your answer.

Operational versus analytical questions

SAP S/4HANA answers two broad kinds of questions. Operational questions are about individual records you may need to act on: which orders are blocked, which invoices are overdue, which deliveries have not been picked. Analytical questions are about totals and patterns: how much did we invoice per customer last quarter, how is overdue debt trending, which plant has the highest stock value.

Operational questions usually lead to a list of documents you can open and work on. Analytical questions usually lead to an aggregated view with totals you can slice and drill into. SAP offers different app types for each, and choosing the wrong type is the most common reason users say "the report doesn't do what I need".

Question at ContosoKindTypical app typeExample
Which sales orders for Great Lakes Fleet Services are blocked for delivery?OperationalList reportManage Sales Orders, filtered by customer and delivery block
Which customer invoices in company code 1710 are overdue today?OperationalList report of line itemsManage Customer Line Items, open items with net due date before today
What is the invoiced amount per customer and month this year?AnalyticalMultidimensional report or analytical list pageA sales volume or billing analysis app, grouped by customer and month
How much stock of CMC-ALT-100 is in plants 1710 and 1720?Operational, with totalsStock list or overviewA stock overview app or SAP GUI MB52 with a plant filter
How did overdue receivables develop over six months?Analytical (trend)KPI or analytical appAn overdue receivables KPI tile with drill-down
Map the question to an app type before you search for an app. App availability depends on your roles and release.

  1. Do you need to act on individual records?Yes → list report or worklist, then the object page · No → you want totals; keep going
  2. Do you need to see which records make up a total?Yes → analytical list page (chart plus table) · No → keep going
  3. Do you need to pivot the totals by several dimensions?Yes → multidimensional report · No → keep going
  4. Do you only need one number against a target?Yes → KPI tile or overview page card, then drill in · No → restate the question

Five things to pin down

  1. The object. Orders, deliveries, invoices, journal entries, stock? Each lives in different apps.
  2. The measure. Count of documents, quantity, net value, amount in company code currency?
  3. The scope. Which company code, plant, sales area, customer or supplier?
  4. The time. Which date matters: order date, delivery date, billing date, posting date, due date? "Last month" by posting date and by document date can differ.
  5. The status. Open, completed, blocked, all? A report of "orders" that silently includes cancelled ones is wrong.

Where to look for the app

Start with the launchpad search and the App Finder; your roles determine what you can see. If you know the business object, search by it ("sales order", "line items"). If you are not sure an app exists, the SAP Fiori apps reference library lets you search by business task and line of business and tells you the app type. And do not forget SAP GUI: classic reports such as VA05 (list of sales orders), ME2N (purchase orders by number), FBL5N (customer line items) and MB52 (warehouse stock) are still available in on-premise and Private Edition systems, and many experienced users rely on them. In Public Edition, you work with Fiori apps only.

What would you do?

Grace, the PMO lead, asks Maria for "how many orders we have for Great Lakes Fleet Services". What should Maria do first?

Key points
  • Operational questions lead to lists of records; analytical questions lead to totals you can slice.
  • Pin down object, measure, scope, time and status before choosing a report.
  • Different date fields give different answers to "last month".
  • Find apps through launchpad search, the App Finder and the Fiori apps reference library; SAP GUI reports remain available outside Public Edition.
