Lesson 4 of 6
Help and notifications
7 min
Two features in the launchpad shell save a lot of time once you know them: in-app help, which explains the screen you are looking at, and notifications, which bring work to you instead of you searching for it. Behind some notifications sits situation handling, SAP S/4HANA's way of alerting the right people to business problems.
In-app help
When in-app help is set up, a help icon (a question mark) appears in the launchpad shell bar. Choosing it lays an overlay over the current app: help bubbles appear next to the fields and controls they explain, and a side panel offers guided tours and links to the full documentation. The standard SAP content comes with SAP S/4HANA; companies can add their own content, such as Contoso-specific rules for a field, with SAP's authoring tooling (which requires a separate license). Your administrators decide whether it is switched on in your system.
Notifications
The bell icon in the shell bar shows notifications: workflow tasks waiting for you, messages from apps, and situation alerts. The notification panel can group them by date, type or priority. Many notifications offer actions directly (for example approve or reject), and clicking one opens the related app with the object. Workflow approvals are also collected in the My Inbox app, which is the better place to work through a queue of them.
Situation handling
A situation is a business condition that someone should act on: a contract about to expire, a supplier confirmation that is late, a billing document that failed to post. Situation handling detects these conditions and informs the responsible users through launchpad notifications, a message inside the affected app, the My Situations app or email, depending on configuration. Each notification links to the object so you can resolve the issue.
- TemplateSAP delivers situation templates for specific business conditions
- Situation typeA key user activates and adjusts a type: conditions, recipients, texts
- DetectionThe system detects the condition, by event or on a schedule
- NotificationResponsible users are notified in the launchpad, the app or My Situations
- ResolutionThe user opens the object, acts, and the situation closes
Situation handling is configured by key users and administrators, not by each business user. SAP delivers templates per line of business; your project decides which to activate and who receives them. In Public Edition many templates are available out of the box; in Private Edition and on-premise the setup is a project task. Recipients are usually determined by responsibility (for example the purchasing group 001 buyer for late confirmations), so the right person is notified without anyone maintaining distribution lists.
What would you do?
Contoso wants buyers to be alerted when Lakeside Components has not confirmed a purchase order three days before the delivery date. Who should set this up, and how?
- The help icon opens in-app help: bubbles, guided tours and links to app documentation.
- Notifications bring tasks and alerts to you; My Inbox is best for workflow approvals.
- Situation handling detects business conditions and notifies responsible users with a link to the object.
- Key users configure situation types from SAP templates; business users act on them.
- Keep notifications for conditions that genuinely need action.
