Lesson 2 of 6

Simplification impacts

6 min

A simplification item is SAP's description of a change between ECC and SAP S/4HANA: a function replaced, a data model changed, a transaction retired or a capability that is no longer the strategic path. Each item has an SAP Note explaining the change and what to do. SAP publishes them in the Simplification Item Catalog, and the Simplification Item Check and SAP Readiness Check tell you which items are relevant to your specific system for your target release.

The Readiness Check report is written for project teams, not for business owners. Contoso's listed 140 relevant items. Emailing that list to every process owner with "please review" produces nothing. The process owner's job is narrower and more useful: for the items that touch their process, decide the business response and own it.

Items that usually land on business desks

Simplification areaWhat changesUsual owner
Business partnerCustomers and suppliers are maintained as business partners; customer-vendor integration must be set up and data cleaned before conversionMaster data owner with O2C and P2P owners
Credit managementECC SD credit management is replaced by SAP Credit Management, with different master data, checks and transactionsO2C owner with finance
Universal Journal and new asset accountingFinance and controlling actuals in one journal; asset accounting on the new modelR2R owner
Material ledgerMaterial ledger is active for inventory valuation in SAP S/4HANAR2R owner with the plant controllers
Output managementA newer output management approach is available alongside the classic one; forms and channels may need reworkEach process owner for their documents
Profitability analysisMargin analysis (account-based) is the recommended approach; costing-based remains available on-premise and in Private EditionR2R owner with controlling

Common business-facing simplification areas. Your Readiness Check decides which apply.

From item to decision

  1. FilterProject team groups relevant items by process and sends each owner only theirs
  2. UnderstandOwner reads the SAP Note summary with a functional consultant: what changes for users and data
  3. DecideChoose the response: adopt the new standard, adapt a process, clean data, or accept a change
  4. PlanRecord tasks: configuration, data cleanup, custom code, training, tests
  5. VerifyAdd test scenarios that prove the response works

The decision is the part only the business can make. Take credit management. The technical facts are fixed: SD credit management does not carry over, and SAP Credit Management takes its place. The business questions are open. Do we keep today's credit limits and risk classes, or redesign them? Who maintains credit limits now, and in which app? Do we want automatic credit limit proposals or keep manual approval? What do the credit analysts need to learn? Maria and the order-to-cash owner decide those with finance, because blocked orders and bad debt are both business outcomes.

Assign owners, not just items

Every relevant item needs one accountable business owner, even when several processes are affected. Items with no owner are the ones still open at cutover. A simple register works: item, SAP Note, affected process steps, business decision, owner, tasks, test scenarios, status. Review it in the program's weekly design authority until every item is closed or consciously accepted.

  1. Does the item change what users do or see?Yes → process owner decides response and training · No → continue
  2. Does it require data cleanup before conversion?Yes → data owner plans cleanup with deadline before the first mock · No → continue
  3. Does it affect a control, report or output?Yes → owner of that control or document designs and tests the change · No → technical team closes it with a note

What would you do?

The Readiness Check lists 140 relevant simplification items. The project manager emails the full report to all process owners asking them to "check anything relevant." Two weeks later, no responses. What should Dan propose?

Key points
  • Simplification items describe changes from ECC to SAP S/4HANA; Readiness Check and the Simplification Item Check find the relevant ones.
  • Common business items: business partner, credit management, Universal Journal, material ledger, output, profitability analysis.
  • The process owner decides the business response: adopt, adapt, clean data or accept.
  • Every item needs one accountable owner, tasks and test scenarios, tracked in a register.

Lesson check

  1. 1. Which tools identify the simplification items relevant to your system?

  2. 2. What replaces ECC SD credit management in SAP S/4HANA?

  3. 3. What must happen to customers and suppliers before a conversion?

  4. 4. Why does each simplification item need one accountable business owner?
