Lesson 1 of 5
One table instead of many
7 min
If you have worked in SAP ECC, you will remember that "finance" was really several applications living side by side. The general ledger kept its line items and totals. Controlling (CO) kept its own line items and totals. Profit center accounting, asset accounting and the material ledger each had their own tables too. Every posting that touched more than one of them was written several times, and someone spent the end of every month proving those copies still agreed.
SAP S/4HANA replaced that with the Universal Journal: one line-item table, technically called ACDOCA, that holds the actual postings of the general ledger, controlling, profit center accounting, asset accounting, the material ledger and margin analysis together. Each line carries all the attributes those applications care about. SAP describes it as the single source of truth for financial data.
| Area | SAP ECC (typical) | SAP S/4HANA |
|---|---|---|
| General ledger | Own line items plus period totals tables | Lines in the Universal Journal |
| Controlling (cost centers, orders) | Separate CO line items and totals; secondary cost elements as separate master data | Same lines, with cost center or order attributes |
| Profit center accounting | Separate ledger or new G/L scenario | Profit center field on every relevant line |
| Asset accounting | Separate asset line items and values | Asset number on the asset-relevant lines |
| Material ledger | Separate material ledger tables | Material ledger postings in the same journal |
| Profitability analysis | Separate CO-PA tables | Margin analysis attributes (customer, product, sales org and more) on the same lines |
| Reconciliation | Month-end checks between FI and CO; reconciliation ledger | Largely unnecessary: one set of lines |
Line items, not totals
ECC stored period totals (for example, the balance of account 400000 in period 9) in separate totals tables, updated with every posting. Those totals were how reports stayed fast on older databases. SAP S/4HANA runs on SAP HANA, an in-memory database that can add up millions of line items on the fly. So the totals tables were removed; for compatibility, views with the old names now calculate totals from the line items when a program asks for them. For you, the practical effect is that every balance in a report is the sum of real line items, and you can always drill down to them.
What stayed the same
The Universal Journal did not erase everything familiar. A journal entry still has a header and line items. The classic header and entry-view tables still exist and are still used for some operational processes such as open item management. Ledgers still exist: the leading ledger (usually called 0L) for your main accounting principle, and non-leading or extension ledgers for others. Company codes, fiscal years and posting periods are unchanged. What changed is that the detailed, reportable truth is in one place.
In SAP S/4HANA Cloud Public Edition the Universal Journal works the same way. One difference worth knowing: Public Edition uses margin analysis only, while on-premise and Private Edition can still run costing-based profitability analysis alongside it, which keeps its own separate tables.
What would you do?
A Contoso controller who joined from an ECC shop asks when the monthly FI-CO reconciliation should be scheduled in the new SAP S/4HANA system. What is the best answer?
- The Universal Journal (table ACDOCA) holds actual line items for G/L, controlling, profit centers, assets, material ledger and margin analysis.
- Period totals are no longer stored; reports total line items on the fly.
- Journal entries still have headers, ledgers and company codes.
- Because FI and CO share one set of lines, they cannot drift apart.
