Lesson 2 of 6
Creating physical inventory documents
8 min
Every count in SAP S/4HANA inventory management starts with a physical inventory document. It lists what is to be counted (plant, storage location, products, batches and stock types), records the book quantity at the right moment, and later holds the counted quantity and the difference. One document per count sheet is the usual design.
Creating documents
In SAP GUI, MI01 creates a single physical inventory document, and MI31 (and related batch-input reports) creates many documents at once from a selection, for example every product in storage location 172A. MI02 changes and MI03 displays a document; MI21 prints count sheets. In the Fiori launchpad, the Create Physical Inventory Document app covers creation and count sheet printing. Contoso's Chicago year-end count creates about 40 documents, one per aisle, with batch input.
| Header field | Contoso Chicago year-end example | Purpose |
|---|---|---|
| Plant / storage location | 1720 / 172A | Where the count happens |
| Planned count date | December 27 | The date the counters will count |
| Posting block | Set | Blocks goods movements for the items until the count is entered |
| Freeze book inventory | Set (automatically with posting block) | Keeps the book quantity used for the difference fixed |
| Physical inventory number / reference | YE2026-172A-07 | Groups documents and links them to count sheets |
| Items | Product, batch, stock type | One line per counted stock |
Fields that shape a physical inventory document.
Posting block and freeze book inventory
The hard part of any count is timing. If 50 alternators are shipped while the counters are in aisle 7, the shelf and the book change at different moments and the difference is wrong. SAP offers two settings on the document:
- Posting block: no goods movements can be posted for the items in the document until the count is entered. This is the strict option for a periodic count when the warehouse is closed anyway.
- Freeze book inventory: the book quantity at the time the document is created (or when the block is set) is stored in the document and used for the difference calculation, even if movements continue. This allows movements but needs physical discipline: anything that moves must be counted consistently with the frozen moment.
- Dec 26, 18:00Last shipmentsFinal deliveries to Great Lakes Fleet Services issued with 601
- Dec 26, 20:00Documents createdBatch input creates 40 documents with posting block for 172A
- Dec 27, 07:00CountCount sheets printed; teams count aisle by aisle
- Dec 27, 15:00Counts enteredPosting block lifts item by item as counts are entered
- Dec 28Recounts and differencesRecounts for large differences, then difference posting with posting date Dec 31
A posting block stops movements that are posted correctly; it cannot stop pallets moving without postings. Physical cut-off still matters: receiving stops at a fixed time, received-but-not-posted goods are kept aside and labeled, and everything is posted before the documents are created. In course sap-mm-203 you saw that stock is calculated from material documents, so an unposted receipt is simply invisible to the book quantity.
Count date and posting date
The document carries a planned count date; the counters enter the actual count date; and the difference is posted with a posting date that decides the fiscal period. For a year-end count, Contoso posts differences into December even if the posting happens on January 3, as long as the period is still open for inventory. Agree with Dan which period stays open and for how long.
- Is the warehouse closed during the count?Yes → posting block, simplest and safest · No → next question
- Can movements be stopped for the counted items only?Yes → posting block on those documents · No → next question
- Can counters reliably count at the frozen moment?Yes → freeze book inventory without posting block · No → split the count into smaller documents and slots
What would you do?
The Chicago count starts at 07:00. At 09:30 a truck of 200 rotors arrives from Lakeside. Receiving wants to post the goods receipt into 172A, which is under posting block. What is the best approach?
- Every count uses a physical inventory document: MI01 single, MI31 batch input, MI21 print.
- Posting block stops goods movements for the items until counts are entered.
- Freeze book inventory fixes the book quantity used for the difference.
- Physical cut-off and posting dates matter as much as system settings.
