Lesson 1 of 5
Universal Journal migration
11 min
Contoso Motor Co. is converting its SAP ECC 6.0 EHP 8 system to SAP S/4HANA, private cloud edition, with a Q3 go-live. A conversion keeps Contoso's history, configuration and custom code, and transforms them to the new data model. For finance, that transformation is the biggest single change in the project. SAP's own community material describes finance data migration as probably the hardest part of any conversion, and Dan, the finance process owner, needs to understand it well enough to sign off the result.
Many tables become one journal
In ECC, one posting was stored in several places: the accounting document header and line items, totals tables for the general ledger, separate line items and totals for controlling, asset accounting, the material ledger and profitability analysis, plus index tables that listed open and cleared items by account. Reconciling those stores against each other was a monthly chore. SAP S/4HANA stores actual line items in one table, the Universal Journal (technical name ACDOCA). G/L, controlling, asset, material ledger and margin analysis information sit on the same line.
Compatibility views are why most standard reports and much custom code keep working: a program that reads an old totals or index table is redirected to a view that calculates the same answer from the Universal Journal. Code that writes to those tables does not work, and code that reads them can be slow. That is a technical concern, but it matters to finance because custom reports are where conversions often produce wrong numbers.
The migration steps, in business terms
The technical conversion (the software update itself) runs first, and then a series of finance migration activities in Customizing transform the data. The exact list depends on the source release and is documented in SAP's conversion guide for finance, but the business shape is consistent.
- Weeks beforeClean and checkSimplification item check, finance consistency checks, open item clean-up, asset fiscal years closed as the guide requires
- Period endClose and snapshotClose the period; capture trial balances, open item lists, asset history sheet and inventory values as the before picture
- Conversion windowTechnical conversionSoftware update and data model change; users locked out
- Conversion windowFinance migrationMigrate cost elements and Customizing, enrich data, migrate line items into the Universal Journal, migrate balances, calculate initial asset values
- Conversion windowReconcileCompare after with before; resolve every difference; set the migration to completed
- After go-liveRegression and closeFirst period-end close on S/4HANA with heightened checks
Two points are worth knowing even if you never touch the activities. First, the migration runs after the period has been closed in ECC, so the before snapshot is stable. Second, the migration produces its own reconciliation results, and those must be reviewed: a difference that is not explained before go-live becomes a finance incident after it.
What finance reconciles
| Area | Before (ECC) | After (S/4HANA) | Tolerance |
|---|---|---|---|
| G/L balances | Trial balance by company code 1710, account and period | Same report from the Universal Journal | Zero |
| Open items | Supplier, customer and G/L open item totals and counts | Same lists after conversion | Zero |
| Assets | Asset history sheet by depreciation area | Asset history sheet after asset migration | Zero, by area |
| Inventory | Stock value by plant 1710 and 1720 | Material ledger values after conversion | Zero |
| Controlling | Cost center actuals for the open year | Cost center actuals read from the Universal Journal | Zero |
What would you do?
At 2 a.m. on the conversion weekend, Luis reports that the G/L trial balance after migration differs from the ECC snapshot by 312.45 USD on one account in company code 1710. The cutover plan has two hours of float. What should Dan's team do?
- SAP S/4HANA stores actual line items for G/L, CO, assets, material ledger and margin analysis in the Universal Journal.
- Old totals and index tables are read through compatibility views; custom code that writes them must change.
- Finance migration runs after period close: clean, snapshot, convert, migrate, reconcile.
- Balances, open items, assets, inventory and CO actuals must reconcile to zero before sign-off.

Lesson check
1. What is the Universal Journal's technical table name?
2. Why do many ECC reports that read totals tables still work after conversion?
3. When does the finance migration usually run?
4. What is the tolerance for differences in G/L balances after migration?
