GR/IR and regrouping

7 min

The GR/IR clearing account sits between purchasing and payables. A goods receipt credits it at the purchase order value; the supplier invoice debits it. When both have posted at the same quantity and price, the item for that purchase order nets to zero. In practice the account always carries a balance at month end, and that balance is a mix of two very different things: goods received but not invoiced, and invoices received for goods not yet delivered.

Why GR/IR balances build up

  • Timing: goods arrive before the invoice, or the invoice before the goods. These should clear within weeks.
  • Quantity differences: 12 received, 24 invoiced, or a partial delivery never completed.
  • Price differences: the invoice price differs from the purchase order price and was not handled at invoice verification.
  • Process errors: a goods receipt posted to the wrong purchase order item, or a reversed receipt never re-posted.
  • Abandoned items: small residues on old purchase orders nobody will ever close.

Analyzing and clearing

SAP S/4HANA offers Fiori apps for GR/IR work. Monitor GR/IR Account Reconciliation gives an overview of open items and surpluses on the goods receipt or invoice side. Reconcile GR/IR Accounts builds a worklist of purchase order items with mismatches, where you set a status (check goods movement, request correction of invoice, perform write-off), assign a processor, record a root cause and write off differences. Accountants with a SAP GUI background will know the older clearing transaction MR11 for writing off differences on items that will never balance.

Separately, the automatic clearing program clears GR/IR line items that net to zero for the same purchase order item, so the account only shows what is genuinely open. Clearing does not change the balance; it removes noise from the line item view.

  1. Automatic clearingClear matched GR and IR lines per PO item
  2. Analyze open itemsWorklist by root cause; follow up with purchasing and suppliers
  3. Correct or write offPost missing receipts, request credit memos, write off approved residues
  4. ReclassifyMove the remaining balance to the right side of the balance sheet

Reclassification and regrouping

The balance sheet must show the remaining GR/IR balance correctly: goods received but not invoiced as a liability, invoices without goods as an asset. The GR/IR account itself is not touched. Instead, the period-end program posts adjustments between an adjustment account and a target account for each side, configured under Define Adjustment Accounts for GR/IR Clearing in Customizing.

The same logic applies to receivables and payables in general. A supplier with a debit balance (because Contoso paid twice) is not a payable; it belongs under receivables. Some countries also require receivables and payables to be shown by remaining term. Because you cannot post directly to a reconciliation account, the regrouping program posts to adjustment accounts. In current SAP S/4HANA releases this is FAGL_CL_REGROUP (older releases used FAGLF101), and in Fiori it runs as a job template in the Schedule General Ledger Jobs app. The program name and tabs vary by release, so check yours before writing test steps. Regrouping postings are reversed on the first day of the next period.

What would you do?

Contoso's GR/IR account for company code 1710 shows a USD 40,000 credit balance at May 31. Grace asks whether it is "a problem." What is the best answer?

Key points
  • GR/IR balances combine received-not-invoiced (liability) and invoiced-not-received (asset) positions.
  • Analyze by purchase order item and root cause; clear matched lines; write off only approved residues.
  • Reclassification and regrouping post to adjustment accounts, never directly to the GR/IR or reconciliation account.
  • Regrouping and reclassification postings reverse on the first day of the next period.
