Asset master data

6 min

Asset accounting manages the company's fixed assets, the machines, buildings, vehicles and IT equipment used for more than a year, from purchase to disposal. Each asset has a master record, its values are kept in several depreciation areas at once, and every value change is a posting in the Universal Journal. In SAP S/4HANA this is often called "new asset accounting"; classic asset accounting from ECC is no longer available.

The structure above the asset

A chart of depreciation is assigned to each company code. It holds the depreciation areas, usually country-specific: for a US company like Contoso, typical areas are book depreciation for US GAAP, one or more tax areas, and possibly an area for IFRS if the group reports under IFRS. Each depreciation area is linked to an accounting principle and a ledger group, which is how SAP S/4HANA knows which ledger each area's values post to.

Asset classes

Every asset belongs to an asset class, such as machinery, vehicles, buildings, IT hardware or assets under construction. The class is a template. It decides the G/L accounts through account determination (acquisition and production cost, accumulated depreciation, depreciation expense, gains and losses), the number range, which fields are required on the master record, and the default depreciation key and useful life per area. Choosing the right class is the most important decision when creating an asset, because changing it later means a transfer.

Depreciation keys and useful life

For each depreciation area the asset has a depreciation key, the useful life in years and periods, and the depreciation start date. The key holds the calculation methods, such as straight-line over the useful life or declining balance, and the period control, which decides how much depreciation applies in the year of acquisition and retirement, for example pro rata from the start of the acquisition period. The start date is derived from the asset value date of the first acquisition and the period control.

Maintaining assets

In SAP S/4HANA the Fiori app Manage Fixed Assets creates, changes and displays asset master records and shows their values per area. In Private Edition the classic transactions AS01, AS02 and AS03 create, change and display assets, and the Asset Explorer (AW01N) shows planned and posted values by area and year. Time-dependent data, such as the cost center the asset is assigned to, can change over time without creating a new asset. When you change a depreciation key or useful life, the system recalculates planned depreciation, and SAP's learning content warns that the change affects all open fiscal years unless you make it time-dependent.

What would you do?

A key user creates an IT laptop as an asset in the machinery class because the screen looked similar. What is the main risk?

Key points
  • A chart of depreciation holds the depreciation areas; each area links to an accounting principle and ledger group.
  • The asset class is a template for account determination, number range, fields and defaults.
  • Depreciation key (methods and period control), useful life and start date are set per area.
  • Manage Fixed Assets (classic AS01–AS03, Asset Explorer AW01N) maintains and displays assets.
